Inventory dashboard for a wholesale distributor

Client Situation

A 40-person distribution company running on QuickBooks and Excel. Three warehouses, no real-time visibility.

Problem

Stock counts never matched reality. Orders shipped late. The ops manager spent every Friday doing manual reconciliation.

What We Did

Built a web dashboard connected to their warehouse barcode scanners and QuickBooks. Added low-stock alerts, reorder suggestions, and a simple receiving workflow.

Result

Inventory discrepancies dropped 80%. Friday reconciliation went from 4 hours to 20 minutes.

Patient scheduling rewrite for a healthcare startup

Client Situation

A booking app built by a freelancer three years prior. The original dev was gone, the code was messy, and nobody wanted to touch it.

Problem

New features took months. Every deploy was a prayer. They could not hire junior developers because onboarding was impossible.

What We Did

Spent four weeks documenting the existing system. Rebuilt the booking engine piece by piece while keeping the live app running. Added tests and CI/CD.

Result

Development velocity tripled. They hired two junior devs within six months.

CRM-to-billing sync for a professional services firm

Client Situation

A 15-person consulting firm using HubSpot for sales and QuickBooks for invoicing. Someone had to manually copy data between them.

Problem

Invoices went out late. Data entry errors caused client complaints. The admin spent 10 hours a week on copy-paste work.

What We Did

Built a Zapier-like automation (but custom, because their workflow was too specific). When a deal closed in HubSpot, the invoice auto-generated in QuickBooks.

Result

Invoices go out same-day. Admin time on billing dropped to 2 hours a week.

Reporting dashboard for a multi-location retailer

Client Situation

Eight stores, each with its own POS system. Owner had no consolidated view of sales, inventory, or margins.

Problem

Monthly reporting took a week. Store managers emailed spreadsheets. Numbers rarely matched.

What We Did

Built a central database that pulled from each POS nightly. Created a dashboard showing sales, inventory, and margins by store, category, and time period.

Result

Owner now checks numbers over morning coffee. Monthly close went from 5 days to half a day.
